Privacy policy

Draft: to be reviewed. This is a plain-language draft prepared for Ironbridge AI Advisory and has not been reviewed by a lawyer. It is not yet in effect.

This policy explains what information Ironbridge AI Advisory LLC ("we") collects when you use SOPCompass and the sopcompass.com website, how we use it, and the choices you have.

Information we collect

  • Account information: your name, email address and the workspaces and roles you belong to.
  • Content you create: SOPs, steps, images, comments, assignments, share links and AI interview transcripts.
  • Files you import: documents you upload to create SOPs. Audio recordings are transcribed in your browser; the audio is not uploaded for that purpose.
  • Usage information: basic activity such as searches, questions asked in Ask, SOP views and completions, used to power features like Insights and read tracking.
  • Billing information: purchases are processed by Whop. We receive your subscription status and plan from Whop, and the name and email you enter on our signup page. We never see or store your card details.

How we use information

  • To provide SOPCompass, including AI features, search, assignments and sharing.
  • To send service emails such as invites, assignment notices and account messages.
  • To keep the service secure, prevent abuse and fix problems.
  • To understand how the product is used so we can improve it.

We do not sell your personal information, and SOPCompass does not use your content to train AI models. Our AI providers process content on our behalf; see How the AI works in the help center for what each one receives.

Our website, analytics and free tools

Analytics. The sopcompass.com website uses Google Analytics 4 to understand how visitors find and use it: pages viewed, the site that referred you, approximate location derived from your IP address, device and browser type, and actions such as clicking a trial button or generating an SOP with our free tool. Google Analytics uses cookies to do this. We have turned off Google Signals and ad personalization, and we do not use analytics data for advertising. According to Google, Google Analytics 4 does not log or store IP addresses. For visitors in the European Economic Area, the United Kingdom and Switzerland, analytics cookies are off by default and only cookieless, aggregated measurement is used. You can block analytics through your browser’s privacy settings or with Google’s opt-out browser add-on. Analytics runs on the sopcompass.com website only, not inside the SOPCompass app.

Free AI SOP generator. When you use the free AI SOP generator, the description you type is sent to our AI provider, Anthropic, to write the SOP, and the result is returned to your browser. SOPCompass does not save your description or the SOP it generates. To enforce the daily free limit, we keep a one-way hash of your IP address (not the address itself) with the time of each use, and delete it after two days. Anthropic processes the text on our behalf under its commercial terms, which do not permit using it to train its models. Please do not enter confidential or personal information into the generator.

SOPCompass Capture browser extension

SOPCompass Capture is an optional Chrome extension that records a task you perform in a web page and turns it into draft SOP steps with screenshots. It only records after you press Start capture, and it stops when you pause or stop. A bar on the page shows while it is capturing.

What it captures, only while capturing:

  • Your clicks and other actions on the page: which button, link, tab, menu item, checkbox or dropdown you used, and the label of that control (for example “Save” or “Stage”), including the option you chose from a dropdown.
  • That you typed into a field, recorded as “Type into” plus the field’s label.
  • Where the control was on the screen, so the step can outline it.
  • The address of the page, with the query string and anything after “#” removed and record ids or tokens in the path replaced with a placeholder, and the page title.
  • A screenshot of the visible part of the tab for each step.

Email addresses and phone numbers in labels and page titles are replaced with [email] and [phone] before they leave your browser. Screenshots show whatever is on screen, so review them before publishing.

What it never captures: the values you type into fields; password, card number, security code, one-time code and similar fields (they produce no step, and any that are filled in are hidden in screenshots); screenshots while a payment provider’s form is on the page; and any tab other than the one you started in and tabs that page opens. It does not read your browsing history, and it never sees your SOPCompass password: you approve the connection inside SOPCompass, which gives the extension a token that expires after 8 hours, is kept in memory only, and can be revoked from the extension or from SOPCompass.

Where the data goes: captured steps and screenshots are sent to your SOPCompass workspace, where they are kept as a draft that only you can open in the app until you publish it. Screenshot files are stored with our storage provider under random, hard-to-guess addresses, like other images in SOPCompass. If you choose the optional AI rewrite on the review page, the step text, page titles, page addresses and screenshots of that capture are sent to our AI provider, Anthropic, to rewrite the wording. Anthropic processes them on our behalf under its commercial terms, which do not permit using them to train its models. The extension sends data nowhere else.

You review everything before it is published. On the review page you can edit, reorder or delete any step, remove any screenshot, or discard the whole capture. Nothing becomes visible to other members of your workspace until you press Publish.

Retention and deletion: deleting a step deletes its screenshot (unless another step of the same capture uses the identical screenshot), and discarding a capture deletes all of its steps and screenshots. Published steps become part of the SOP and are kept like the rest of your content, as described under Retention and deletion below. The extension itself keeps only the connection token and the current capture’s progress in memory, which is cleared when Chrome closes, plus, on your computer, which workspace and SOP you last picked. We do not sell data captured by the extension or use it for advertising or for anything other than building your SOPs.

Service providers

We rely on providers to run SOPCompass, including Supabase (database, authentication and storage), Anthropic (AI features, including the free SOP generator), ElevenLabs (voice interviews), Resend (notification and sign-in emails), Whop (billing), Vercel (hosting), Google (sign-in with Google and website analytics), Hugging Face (serves the speech model your browser downloads to transcribe audio on your device) and Slack (only when you send an SOP there). They process data on our behalf to provide their services.

Who can see your content

Content in a workspace is visible to members of that workspace according to their role. AI interviews are visible only to the person who started them. Anyone with an active share link can read the single SOP it points to until the link expires or is revoked.

Retention and deletion

We keep your content while your workspace is active. You can request an export or deletion of your data by emailing support@ironbridgeaiadvisory.com. Some records may be retained where required for legal, billing or security reasons.

Your choices

You can ask us to access, correct, export or delete your personal information, or to remove you from a workspace, and a workspace admin can remove you at any time. Depending on where you live, you may have additional rights under local law.

Children

SOPCompass is a business tool and is not directed to children. You must be at least 16 to use it, and we do not knowingly collect personal information from anyone under 16. If we learn that we have, we will delete that information and close the account. If you believe a child under 16 has given us personal information, email support@ironbridgeaiadvisory.com.

Changes

We will update this policy as SOPCompass changes and post the new date here.
