Best Trainual Alternatives in 2026: 7 Options Compared
Trainual is strong at formal training. If you want published prices, a self-serve trial or a lighter SOP tool, here are seven alternatives and who each one fits, plus when to stay put.
SOPCompass makes one of the tools on this list. We’ve kept the comparisons to what each vendor publishes and said where others, including Trainual itself, are the better pick.
A Trainual alternative is any tool that covers the part of Trainual you actually use (writing SOPs, training new hires, testing knowledge or tracking who has read what) at a price, setup or scope that fits you better.
Trainual is a training and knowledge platform: role-based training paths, SOPs, tests, e-signatures and completion reports, plus an operations suite for meetings, goals and KPIs. That is a lot of product. Some teams need all of it. Others mainly need SOPs written and read, and look for something they can price and start today.
What Trainual does well
It is worth being clear about Trainual’s strengths before looking elsewhere, because several are hard to replace. From Trainual’s own pricing and help pages:
- Tests on every plan, with AI that generates quiz questions from your content.
- Training paths by role, department or location, with due dates and completion tracking.
- E-signatures on Pro (300 per year) and unlimited on Premium and above.
- SSO on Premium and Enterprise (Google, Okta, Microsoft Entra).
- iOS and Android apps.
- HRIS and payroll integrations such as Gusto, BambooHR and Zenefits that add new hires automatically.
- SCORM storage, a premium course library add-on and a dedicated implementation specialist.
- Meetings, goals, KPI scorecards and action tracking in the same tool.
- 500+ free templates and AI that drafts a process or policy from a description.
Why teams look for Trainual alternatives
The reasons people look elsewhere are mostly about access and fit, not quality:
- No published pricing. Trainual’s pricing page says plans vary by team size and features and asks you to book a demo.
- No self-serve trial listed, and a one-time $1,000 implementation fee.
- More platform than needed. If you mainly want SOPs written, organized and assigned, training paths, e-signatures and a KPI suite may be more than you will use.
- Getting content written. Trainual has AI drafting, uploads and screen recording, but some teams want a different way to pull processes out of people’s heads.

Waybook vs Trainual
Waybook is the alternative people most often weigh against Trainual, because both are built around onboarding and testing what people know. The differences are in how far the training goes, how you buy it and what you pay for.
| Trainual | Waybook | |
|---|---|---|
| Best for | Companies of 25 to 1,000 employees that want formal training paths, tests and e-signatures | Teams of 20 or more that want onboarding, tests and a free click-capture extension in one playbook |
| Training and tests | Training paths by role, department or location; tests on every plan with AI-generated questions | Onboarding assignments with progress tracking and due dates; tests and polls on every plan |
| E-signatures | Pro (300 per year), unlimited on Premium and Enterprise | Not listed |
| Creating content | Editor, AI drafting from a description, uploads, in-app screen recording, 500+ free templates | AI Content Writer, a template library and Waybook Shots, a free Chrome and Edge extension |
| SSO and mobile | SSO on Premium and Enterprise (Google, Okta, Microsoft Entra); iOS and Android apps | SSO and directory sync on Pro; a mobile app |
| Pricing | Not published; priced through a demo, plus a one-time $1,000 implementation fee | Core $99/mo billed annually ($119 monthly), Pro $198/mo billed annually ($238 monthly), 20 members included, then $5 to $12 per extra member a month |
| Trial | No free plan or self-serve trial listed; demo | 7-day free trial, no free plan |
| Moving in | One-time $1,000 implementation fee; a dedicated implementation specialist is listed | Free data migration on Pro |
Choose Trainual if the training itself is the product: role-based paths, signed policies, enterprise SSO, native phone apps or new hires added from Gusto, BambooHR or Zenefits. That holds whether you are a law firm with policies people must sign or a larger team that onboards by role and location.
Choose Waybook if you want to see the price and start this week: a small business or hybrid team of around 20 can try it for 7 days, pay a published rate and capture software steps with Waybook Shots. Check the per-member cost if your team will grow well past 20, and confirm signed policies are not a requirement, since Waybook does not list e-signatures.
If you are switching between them, Waybook’s Pro plan lists free data migration, while moving onto Trainual means its one-time $1,000 implementation fee. Either way, follow the switching steps below. Full detail: SOPCompass vs Trainual and SOPCompass vs Waybook.
The seven alternatives
Waybook
Waybook is the closest in spirit to Trainual: a business playbook built around onboarding, with tests and polls on every plan, progress tracking, an org chart, a mobile app and an AI Content Writer. It adds Waybook Shots, a free Chrome and Edge extension that turns captured clicks into SOPs. Pro lists SSO, directory sync and free data migration.
Fits: teams of 20 or more who want Trainual-style onboarding with a published price. Watch for: plans include 20 members, then $5 to $12 per extra member per month; the trial is 7 days; monthly billing on Core is $119. See SOPCompass vs Waybook.
Whale
Whale combines an AI SOP Writer, a Step Recorder that captures a process as you work, training flows and AI-generated quizzes, with badges and an org chart. It lists Google and Microsoft sign-in and Zapier and Slack integrations, and a free plan with 1 creator and up to 10 members.
Fits: teams that want training flows and quizzes and would like to start free. Watch for: paid plans are priced by creator (Scale includes 3), and Scale is $399 a month if billed monthly. See SOPCompass vs Whale.
SweetProcess
SweetProcess puts every feature on one plan: procedures, processes, policies, tasks, quizzes, a knowledge base, SSO (SAML or Active Directory), SCIM and an API. AI drafts from a title, and a browser plugin records clicks. It lists a 30-day money-back guarantee.
Fits: small teams that want quizzes and SSO without plan tiers. Watch for: you pay for every member added, $5 per member per month past 10 on monthly billing. See SOPCompass vs SweetProcess.
Process Street
Process Street is a different kind of tool: it runs recurring workflows with conditional logic, approvals, forms, enforced task order and dynamic due dates, and connects to Zapier, Power Automate, Make and Tray.io. It lists iOS and Android apps, SAML SSO and SCIM.
Fits: teams whose training problem is really a “do the checklist every time” problem. Watch for: prices are not published either. See SOPCompass vs Process Street.
Scribe
Scribe captures clicks in the browser or on the desktop and builds a step-by-step guide with screenshots. It is not a training platform, but for software how-tos it is fast, and the Basic plan is free.
Fits: teams whose Trainual content is mostly “how to do X in our software.” Watch for: no tests listed, per-seat pricing, and assigning guides with due dates is something we could not confirm on Scribe’s site. See Scribe alternatives.
Tango
Tango also captures workflows into guides, and on Enterprise walks people through each click inside other web apps with Pins and Guide Me. The free plan covers up to 10 users per workspace.
Fits: software training where in-app guidance matters. Watch for: on Pro, every workspace member is a paid seat. See SOPCompass vs Tango.
SOPCompass
SOPCompass is narrower than Trainual. It focuses on getting SOPs written, organized, assigned and checked. The AI assistant interviews you by text or voice and drafts the SOP, or proposes edits you approve; nothing it writes goes live without approval. For software tasks, the SOPCompass Capture Chrome extension turns clicks in any web app into steps with screenshots, and a screen recording or uploaded video becomes a guide that keeps the video. You can also import Word, PDF, Markdown and audio. SOPs sit in a fixed structure of Company plus five business pillars, and you assign them with due dates, email notices and completion tracking.
For checking understanding, any SOP can have a quiz: multiple choice or true or false, with questions you write or AI drafts for you to approve. It is scored on the server, so the answers stay hidden until someone passes, and an assignment can require a pass before it counts as done. Editors see each person’s results. Quizzes are on every plan at the published price. Ask answers questions from your SOPs with citations.
For policies, SOPCompass now matches the job Trainual’s e-signatures do: mark an SOP as a policy and each assignee ticks “I agree” and types their name, recorded against the exact version they read. People who signed an older version are flagged, admins can ask them to sign again, and the report exports as CSV. Policy sign-off is on every plan. Staff can add SOPCompass to their phone home screen from the browser (the phone app is a web app, not an app-store app, and needs a connection), and Business includes a REST API for assigning onboarding SOPs from your own tools.
Fits: teams that want a visible price and a trial they can start today, pay for editors only (viewers are unlimited on every plan), and run several brands through workspaces on Business. Team is $99 a month, Business $249, billed monthly; see pricing.
Watch for, honestly: no training paths (quizzes are per SOP), sign-off is a typed-name acknowledgment rather than a dedicated e-signature product, no SAML or Okta SSO (Google sign-in only), no native iOS or Android apps and no offline reading, no HRIS integrations (the API on Business can be wired to one through Zapier, Make or n8n), no free plan, and a newer product. If those matter, they are exactly where Trainual is stronger. Full detail in SOPCompass vs Trainual.
Feature check: what each alternative covers
The table below lines up the Trainual features people most often ask about. “Not listed” means we did not find it on the vendor’s own pricing or product pages, not that it definitely does not exist; ask the vendor if it matters to you.
| Tool | SSO | Mobile apps | Click capture | E-signatures |
|---|---|---|---|---|
| Trainual | Premium and Enterprise | iOS and Android | In-app screen recording | Pro (300/yr) and above |
| Waybook | Pro | Mobile app | Waybook Shots extension, free | Not listed |
| Whale | Google and Microsoft sign-in | Not listed | Step Recorder | Not listed |
| SweetProcess | SAML or Active Directory | Not listed | Browser plugin | Not listed |
| Process Street | SAML SSO and SCIM | iOS and Android | Not listed | Not listed |
| Scribe | SAML SSO on Enterprise | Not listed | Extension and desktop app | Not listed |
| Tango | SSO on Enterprise | Not listed | Browser and desktop capture | Not listed |
| SOPCompass | Google sign-in only | No native apps; installs to the home screen from the browser | SOPCompass Capture Chrome extension, plus screen recording or video to guide | Policy sign-off with typed name, every plan |
Two things stand out. First, no single alternative matches Trainual on all four columns, which is a fair reason to stay if you need them together. Second, if you do not need formal e-signatures and your staff do not need a native mobile app, the field opens up considerably and the decision comes down to price, how content gets written and how people are held to it.
How content gets written differs more than it looks
Trainual gives you an editor, AI drafting from a description, uploads, in-app screen recording and 500+ templates. The alternatives split into three camps:
- Capture first: Scribe, Tango, Whale’s Step Recorder, Waybook Shots and SweetProcess’s plugin record what you do on screen. Fast for software, blind to anything off-screen.
- Prompt first: Whale’s AI SOP Writer, SweetProcess’s AI draft from a title and Waybook’s AI Content Writer write from a short description.
- Interview first: SOPCompass asks you questions by text or voice and drafts from your answers, which suits processes that live in someone’s judgment. It also has click capture for the software steps. Our guide to getting the business out of the owner’s head explains why that matters for owner-led teams.
Who should stay on Trainual
Stay on Trainual if any of these describe you:
- You test people inside role-based training paths. Trainual has tests on every plan. SOPCompass has a quiz per SOP but no training paths; Waybook, Whale and SweetProcess also list tests or quizzes.
- You need formal e-signatures on policies. Trainual has had them for longer. SOPCompass now covers signed acknowledgment with typed-name policy sign-off on every plan, so check which one your policy requirement calls for.
- IT requires Okta or Microsoft Entra SSO or your staff want a native phone app. Trainual lists SSO on Premium and above plus iOS and Android apps.
- New hires flow in from your HRIS (Gusto, BambooHR, Zenefits) and you want them enrolled automatically.
- You use the meetings, goals and KPI tools and would have to replace those too.
Switching costs are real. If Trainual is working and the main complaint is price, ask Trainual about a smaller plan before migrating.
How to switch without losing your content
If you do move, keep it simple:
- Inventory what you actually use. List the subjects people read, the tests you rely on and any signed policies. Signed records may need to stay archived where they are.
- Export or copy content into files you can import. Most tools here import Word or PDF; SOPCompass also imports Markdown, audio and video.
- Rewrite rather than copy the weakest SOPs. A move is a good moment to fix the ones nobody follows. Our guides on SOP format and how to write an SOP help.
- Run both for one onboarding cycle before cancelling, and assign the new SOPs to a real new hire.
