Policy sign-off
For handbooks, codes of conduct and safety rules. Signatures record the name, the time and the exact version signed, and cannot be edited.

Some SOPs are rules people must agree to follow, not just procedures to read. Turn on sign-off and the SOP becomes a policy: each person reads it and signs with their full name.
Turn on sign-off
Editors, admins and owners can do this on SOPs in their own workspace.
- Open the SOP.
- Click More, then Require sign-off (policy).
SOPCompass saves a restore point first, so every signature can point to the exact text in History. The SOP now shows Policy, sign-off required under its title.
To turn it off, click More, then Stop requiring sign-off.
Collect signatures
Sign-off rides on assignments; there is no separate kind of assignment.
- Click Assign on the policy and pick the people. See Assignments and due dates.
- Each person sees Read and sign on their Assignments page.
Signing a policy
- Open the policy. A banner says “This is a policy” with a Go to sign button.
- Read it through. The signature block is at the end of the last card.
- Tick I have read and agree to follow this policy.
- Type your full name.
- Click Sign policy.
Your name, the time and the exact version are recorded, and your assignment completes. If the assignment also requires a quiz, pass the quiz and sign; the assignment completes once both are done.
After signing, the banner says when you signed. If the policy changes afterwards, it says “This policy changed since you signed it” and asks you to sign the current version.
What counts as a new version
A signature is for the policy’s content (its cards and steps) at the moment of signing. If the cards or steps change, older signatures show as Older version. Changing only the title or tags does not.
See who has signed
Click More, then Sign-offs. Editors, admins and owners see:
- A summary, such as “8 of 10 signed the current version, 1 on an older one, 1 not yet.”
- Each person with their status (Signed, Older version or Not signed), when they signed and whether they have an open assignment.
- Filters for each status, and Export CSV for your records.
Former members who signed are still listed, marked “No longer a member”.
Ask people to sign again
After a policy changes, admins and owners can click Ask … to sign again in the Sign-offs window. Everyone on an older version (who does not already have one open) gets a new assignment with the note “This policy was updated. Please read it and sign again.” and an email. Their old signature stays on record but does not complete the new assignment.
Signatures are permanent
Sign-offs cannot be edited or deleted by anyone signed in. They are removed only if the SOP, the workspace or the person is deleted.
Common questions
Is this a legal e-signature?
It is a typed-name acknowledgement recorded with the time and the exact version of the policy. Whether that meets a legal requirement for your situation is something to check with your own adviser.
Can a signature be changed or deleted?
No. Sign-offs are append-only. When a policy changes, people sign again, which adds a new record and keeps the old one.
Which plans include policy sign-off?
Every plan.
