How Build with AI and the AI interview work

Build with AI interviews you by text or voice, then drafts SOPs and a filing plan. Nothing changes in your workspace until you approve each item, and changes to existing SOPs are snapshotted first.

Build with AI turns a conversation about how your business works into drafted SOPs. It is available to owners, admins and editors, from Build with AI in the main menu.

Three ways to start

  • Map the whole business. The interviewer works through what the business sells, who does what, how work comes in, how it is delivered and billed, and what happens when something goes wrong. Plan on 20 to 30 minutes, or pause and come back.
  • Start a new SOP. Name one procedure and the interviewer asks about just that.
  • Improve an existing SOP. Pick an SOP you can edit and the interviewer reads it first, then asks what needs to change.

How the interviewer behaves

The interviewer is instructed to:

  • ask one question at a time,
  • follow up when an answer is thin (“we just book it in” is not yet a process),
  • never invent detail, and only summarize back what you said,
  • take “I don’t know” or “that’s someone else’s area” at face value and move on, and
  • in a workspace that already has SOPs, spend its time on gaps and misfiled content rather than what is already written.

Before the first question, it reads the workspace’s boards, libraries and SOP titles as you can see them, plus the business description an admin entered in Workspace settings.

How long interviews are remembered

Everything is saved as you go. On each turn the interviewer keeps short running notes on each area it has covered. Only the latest 40 turns of the conversation are sent back to the AI each time, and the notes carry the rest, which is how an interview can run for hours across several sittings. An interview can hold up to 400 turns.

Talking instead of typing

Choose voice and your browser opens a live conversation with the interviewer through ElevenLabs. SOPCompass gives the browser a short lived, single use link, so the ElevenLabs key never leaves our servers. The words of the conversation are saved to your interview in batches while you talk, so a closed laptop or dropped connection doesn’t lose them. A single voice conversation can run up to 40 minutes. See What data is sent to the AI for what ElevenLabs receives.

From interview to proposals

When you are ready, turn the interview into proposals. Claude reads the transcript and notes and returns:

  • Drafted SOPs with sections and steps, for at most 15 of the best described processes. It keeps your specifics exactly: names, systems, amounts, thresholds and who to contact.
  • Honest stubs for processes the interview justified but didn’t cover in enough detail, titled “What this needs to cover”.
  • Filing proposals: new libraries inside your six pillars, and moves, renames and merges of existing content, only where the interview gave a reason.
  • A one or two sentence rationale on every item, and a short summary of what to look at first.

A proposal can hold up to 40 new libraries and 60 SOPs. The AI can never add, rename or remove pillars.

You approve every item

Nothing is written to your boards, libraries or SOPs while the AI works. On the review page you approve or reject each item. Only approved items are applied, and they are applied with your own permissions, so you can’t create anything you couldn’t create by hand.

  • Before an existing SOP is changed, its current version is saved to its history.
  • A merge archives the SOP being folded in. It isn’t deleted.
  • If an SOP was edited after the interview read it, applying a change to it is refused rather than overwriting the newer edit.

Privacy

An interview, its transcript and its proposals can be opened only by the person who started it. Admins and teammates can’t read them. Viewers can’t run interviews.

Common questions

Can my admin read my interview?

No. An interview and the proposals made from it can only be opened by the person who started it. What becomes shared is the SOPs and changes that person approves.

Can I start by talking and finish by typing?

Yes. A voice interview and a typed one are the same interview in SOPCompass, so you can switch between them and pick up where you left off.

What happens to an SOP when I approve a rewrite of it?

The current version is saved to the SOP's history first, so you can restore it. A merge archives the SOP being folded in rather than deleting it.
