SOPs and content FAQ

How SOPCompass structures your SOPs and what you can do with them: organize, edit, add video, review, restore, comment, archive and search.

Updated

SOPCompass keeps SOPs in a structure everyone shares: pillars, then libraries, then SOPs, each made of cards and steps. The questions below cover how that structure works and the everyday tools around it.

To bring existing documents in, see Importing from other tools. To get SOPs out as PDF or Word, see Exporting. For how the AI drafts and edits SOPs, see the AI FAQ.

Common questions

How is an SOP organized?

An SOP is made of cards (sections), and each card can have a body plus numbered steps. Steps can hold text, checklists, links, images and screenshots with a highlight box around the thing to click. SOPs live in libraries, and libraries live in pillars.

What are the pillars?

Every workspace has Company plus five business pillars: Lead Acquisition, Lead Nurture, Sales Execution, Fulfillment & Delivery and Retention. They give every SOP a home that follows how the business actually runs, from winning a customer to keeping one.

What are departments?

Departments (HR & People, Operations, Finance, Sales and Marketing) say who an SOP is for. A library can set default departments for its SOPs, an SOP can have its own, and admins set each person's departments in People.

Can I move an SOP or a whole library?

Yes. Editors can move an SOP to another library or pillar from its More menu, and move a library with all its SOPs from the pillar view. Moves are available on every plan. On Business, admins can also run AI sort, which proposes where each SOP belongs.

Can I add video to an SOP?

Yes. Use Add from video on an SOP to record your screen or upload a video file (for example a Loom or Zoom recording) up to 500 MB. The AI writes the steps, the video stays in the card, and each step can jump to its moment in the video.

Is there version history?

Yes. Open History from an SOP's More menu to see earlier versions and restore one. Up to 50 versions are kept per SOP. Accepted AI edits are versioned too, so they can be rolled back.

Can I set a review date?

Yes. An SOP can have an owner and a review interval. When the review date passes, the SOP shows that it is due for review, and on Business the Insights page lists SOPs that are overdue for review.

How do comments and @mentions work?

Anyone who can read an SOP can comment on it, including on a specific step. Type @ to tag a workspace member; they get an email with a link straight to the comment, as long as they can read that SOP.

What is the difference between archiving and deleting?

Archiving hides an SOP from pillars and search but keeps everything, and any editor can restore it from the Archived page. Permanent deletion removes the SOP with its cards, steps, comments and history, can't be undone, is limited to admins, and only works on an SOP that is already archived.

How does search work?

Search looks through titles, cards and steps and ranks the best matches first. You can also use Ask to get a written answer with numbered citations to the SOPs it came from.

Can I split a long SOP?

Yes. An SOP with more than one card has Split into a new SOP in its More menu, which moves the cards you choose into a new SOP.

Can several brands or locations share the same SOPs?

On Business, a library can be shared from one workspace into others. It is read-only in the workspaces it is shared into and is edited only in its home workspace, so there is one version everyone follows.

Can I save SOPs I use often?

Yes. Press Save on any SOP and it appears on your Saved page.
