Library sharing

A shared library is read everywhere it is shared and edited in one place, so every brand is always on the current version.

A library lives in one workspace, its home. Sharing publishes it into other workspaces you belong to. They read the same SOPs live, so one edit reaches all of them.

Share a library

You need edit access in the library’s home workspace, and the Business plan on both sides.

  1. Open the pillar that holds the library.
  2. Open the library’s ⋯ menu and click Share… (or Sharing (2)… if it is already shared). You can also click the Shared with 2 badge next to its name.
  3. Tick the workspaces to share it into.
  4. Click Save sharing.

To stop sharing, untick a workspace and click Save sharing.

A workspace on the Team plan is listed as “(Team plan, can’t receive shared libraries)”.

What the other workspaces see

  • The library appears on their Boards page under Shared into their workspace name, with where it comes from.
  • Its page says “Read-only here. Edits happen at the source.”
  • They can read, search and Ask across it, save its SOPs, take its quizzes and sign its policies.
  • Their editors can assign its SOPs to their own people and create share links for them. Those assignments and quiz results belong to their workspace.

Important: Comments belong to the SOP, so everyone the library is shared with sees its comments, including ones already written. Check existing comments before you share.

Moving a shared library’s SOPs

If you move an SOP out of a shared library into one that is not shared, the other workspaces lose it. SOPCompass lists who loses it, and any open assignments they have on it, and asks you to confirm first. See Move SOPs and libraries between pillars.

After moving to Team

Libraries already shared stay shared, and can still be unshared. New shares need the Business plan.

Common questions

Can people in the other workspace edit a shared library?

No. It is read-only outside its home workspace. Edits happen at the source and reach every workspace at once.

Can I share a library with a workspace I am not a member of?

No. You can only share into workspaces you belong to, and both workspaces need the Business plan.
