People, roles and the access grid

The People page for one workspace, and the All my workspaces grid for owners and admins who run several.

Updated
On this page
  1. The People tab
  2. Plan limits on roles
  3. All my workspaces (the access grid)
  4. Leaving a workspace

Click People in the top menu. It has three tabs:

Everyone can see the People list. Only owners and admins can change it.

The People tab

Each member row shows their name, email, role and departments. The count at the top shows members and how many are invited but have not joined yet.

Owners and admins can:

  • Invite someone. See Invite your team.
  • Change a role with the role picker on the person’s row: viewer, editor, admin or owner.
  • Set departments by toggling them on the person’s row. This decides what their Boards page opens on.
  • Remove someone: open the ⋯ menu on their row and choose Remove from the workspace.
  • For pending invitations, Resend invite or Revoke invite from the ⋯ menu.

Changes save straight away.

Important: Only an owner can make someone an owner. The last owner of a workspace cannot be removed or demoted.

Plan limits on roles

Owners, admins and editors count toward your plan’s editor limit (Team 10, Business 30, counted across every workspace on the subscription, by email address). Viewers never count. If a role change or invitation would go over the limit, SOPCompass shows the limit and does not make the change. See Plans and billing.

All my workspaces (the access grid)

If you are an owner or admin of two or more workspaces, the People tab offers This workspace or All my workspaces.

All my workspaces shows a grid: people down the side, your workspaces across the top, and each cell the person’s role there (or that they are invited). From the grid you can:

  • Click a role to change it, or to remove the person from that workspace.
  • Click an empty cell and Grant access to add an existing person to another workspace with a role.
  • Set the role on a pending invitation.

New people still start with Invite, which invites them to the workspace you are in.

Leaving a workspace

In the access grid, you can remove yourself from a workspace (it asks you to confirm, since you will lose access). Your Ask history there is deleted.

Common questions

What happens to someone's work when I remove them?

Removing someone takes away their access to the workspace. The SOPs they wrote stay. Their Ask history in that workspace is deleted.

Can I remove the last owner?

No. A workspace can never lose its last owner. Make someone else an owner first.
