Multiple workspaces

A workspace per brand or location, each with its own pillars, people and permissions, all under one account.

  5. Keeping workspaces apart

Each workspace is a separate business, brand or location with its own pillars, libraries, SOPs, people and permissions. People who work across brands use one login and switch between them.

Switch workspaces

Use the workspace dropdown in the top bar. Everything in the app, including Boards, Ask, Assignments, Saved and Insights, then shows that workspace.

Links go to the right place on their own: opening a link to an SOP in another of your workspaces switches to that workspace.

Note: The quick jump search (Ctrl+K or Cmd+K) searches every workspace you belong to at once.

Add a workspace (Business plan)

The owner of a Business subscription can add workspaces, up to 5 in total:

  1. Go to People, Settings & billing.
  2. Under Add a workspace to this plan, enter the brand or location name.
  3. Click Create workspace.

It starts with the Company area and five pillars, and you are its owner. Editors across all workspaces on the subscription count toward one editor limit (30 on Business).

Manage people across workspaces

If you are an owner or admin of two or more workspaces, People offers All my workspaces: a grid of everyone, with their role in each workspace. Grant access, change roles or remove people from one place. See People, roles and the access grid.

Write once, use everywhere

Payroll, brand guidelines and HR policies are often the same in every brand. Instead of copying them, share the library into your other workspaces. See Library sharing.

Keeping workspaces apart

What people can see is enforced in the database. A member of one workspace cannot see another workspace’s SOPs, people or search results unless a library is shared into their workspace.

Common questions

Do people need a separate account for each workspace?

No. One account can belong to several workspaces, with a different role in each.

How many workspaces can I have?

Team includes 1 workspace. Business includes up to 5 on one subscription. You can also be invited into workspaces on other subscriptions.
