Share links and QR codes

Links for contractors, field staff and clients. Each one opens a single SOP, read-only, and counts its own opens.

A share link lets anyone read one SOP without signing in. Use it for contractors, vendors, clients or field staff who do not have a login.

Editors, admins and owners can create share links.

  1. Open the SOP.
  2. Click Share.
  3. Optionally describe what the link is for, such as “Saturday crew”. This label helps you tell links apart.
  4. Choose Never expires, Expires in 7 days or Expires in 30 days.
  5. Click Create link.

Each active link shows its label, its address, how many times it has been opened and when it expires.

For each link you can:

  • Copy link to paste it into a message.
  • Download QR to get a QR code image for a break room wall, a job site or a printed checklist.
  • Copy embed code or Copy embed link to show the SOP on another site. See Embedding SOPs.
  • Revoke to cut off access immediately.

What people see

The share page shows your workspace’s name, the SOP title, its owner and every card and step, with screenshots, highlight boxes and videos. Readers can:

  • Tick checklists (saved on their own device).
  • Enlarge the text with Aa.
  • Print or save it as a PDF.

The screen stays awake while it is open, where the browser supports it. Comments, history, quizzes and “Watch this step” are not on the share page.

If a link has expired or been revoked, the page says “This link isn’t valid.”

A share link is created under the workspace you are in. That means you can share an SOP from a library shared into your workspace with your own field staff.

Sharing in Slack

Paste a share link into Slack and it unfurls with a preview. There is no Send to Slack button in customer workspaces yet; see Slack.

Common questions

Can someone with a share link see my other SOPs?

No. A share link opens exactly one SOP, read-only. It cannot be used to browse or edit anything else.

What happens when a link expires or is revoked?

It stops opening the SOP, and any embed that uses it stops too. You can create a new link at any time.

Do people with a share link see comments?

No. The share page shows the SOP's content only.
