Comments and @mentions
Comments let the people doing the work flag what is out of date on the exact step, and bring in the right person with an @mention.
On this page
Comments keep questions and fixes next to the step they are about, instead of in a side conversation that gets lost.
Open the comments
- Under any step, click Comment (or the count, such as “2 comments”). The panel opens on that step.
- For the whole SOP, click More, then Comments. The number next to More is the count of open comments.
Write a comment
- Type in the box at the bottom of the panel.
- Choose what it is about: a specific step, or About the whole SOP.
- Click Comment, or press Ctrl+Enter (Cmd+Enter on a Mac).
Comments can be up to 4,000 characters. Everyone who can read the SOP can see its comments.
@mention someone
Type @ and start typing a name, then pick the person. The comment shows “@Name”, and they get an email with a link straight to the comment.
- Only members of the SOP’s workspace can be tagged.
- They are emailed only if they can open the SOP.
- Up to 20 people can be tagged in one comment.
- Editing a comment to add a new mention emails only the newly tagged people.
Reply, edit, resolve and delete
- Reply: answer a comment in its thread.
- Edit: change your own comment.
- Resolve: close a thread once the fix is made. Resolved threads are hidden but kept; click Show … resolved to see them, and Reopen to bring one back. You can resolve your own threads; editors can resolve any.
- Delete: remove your own comment. Editors can delete any comment on SOPs they can edit.
Resolving, rather than deleting, is the best way to end a thread: it keeps a record of what was queried and fixed.
When a step is deleted
A comment on a step that is later deleted stays on the SOP, no longer pinned to a step.
Comments on shared libraries
Comments belong to the SOP, so an SOP in a library shared into several workspaces shows the same comments in all of them. When you share a library, its existing comments go with it. Tagging with @ only works for members of the SOP’s home workspace.
Common questions
Can viewers comment?
Yes. Anyone who can read an SOP can comment on it. Commenting is how the people following SOPs tell editors what needs attention.
Who gets an email when I @mention them?
The person you tagged, as long as they can open that SOP. Each person gets at most one email per comment.
Are comments included when I print or export an SOP?
No. Printed, PDF and Word copies hold the procedure only, never the comments.
